Account & Employment Checker

Our tool is for the one or two IT or security people at a mid-sized company in Azerbaijan, with a few hundred to a few thousand staff and accounts spread across email, VPN, GitHub and cloud consoles, but no identity governance platform to tie them together. It's also for the IT-audit firms that run access reviews for these companies. When someone leaves, their accounts should be closed, but HR and IT don't share a system, so at audit time someone exports the leavers list, every account list and the login logs, and matches them by hand in Excel. That's where it falls apart. HR has "Elvin Məmmədov", GitHub has "e.mammadov", another system has the name in Cyrillic or a nickname, and plenty of accounts have no employee ID or email at all. A VLOOKUP either misses these accounts, which leaves a former employee with working access, or links them to the wrong person, which sends an auditor after an innocent colleague. In our 300-person test company, doing this by hand meant going through 782 accounts and 5,127 logins. Even the big identity platforms leave the accounts they can't link marked as "uncorrelated", and practitioners describe exporting those to CSV and matching them by hand anyway. Writing matching rules by hand doesn't solve it either: ours gave 18 wrong "no owner" answers, and each one of those can hide a leaver.

What the judges wrote

    Strengths
Your problem is concrete: Elvin Məmmədov vs e.mammadov vs Cyrillic names, and you show that a VLOOKUP both misses leavers and blames innocent colleagues (the shared t.hasanov username). Your testing is exceptional for a hackathon. You froze the rules before writing 42 new matching cases, compared four methods head to head, built a 300-person company with 40 traps and an independent answer key, and admitted failures openly: rules overfitting, the a.morozova error and the Gemini quota cutoff. Your design keeps the AI tightly scoped. It only picks from a fixed candidate list, code vetoes contradictions, and a human confirms every link, with a prompt-injection test to back it. Your cost, data columns and pilot plan with success criteria are specific and realistic.
    To improve
Your own numbers show the AI added little at company scale (1 potential finding, and it covered only 78 of 266 accounts), so rerun the full test on a paid quota to show the AI's contribution end to end. Run the timing test you prepared (Excel vs the tool, same answer key) so the time-saved claim is measured rather than implied by 83 vs 782. Have someone outside the team write a blind test set, and retest the post-hoc name veto on fresh cases, since the generator, tool and answer key share one author. Use a real reviewer with realistic error rates instead of a perfect simulated one.
  • GPT-6 AstraPreliminary83/100
    Strengths
Your project addresses a concrete offboarding risk for small IT/security teams, with findings traceable to source rows. Your separation of deterministic checks, AI suggestions and human confirmation appropriately limits the consequences of incorrect identity matches. Your reported 79 automated tests, baseline comparisons and explicit disclosure of overfitting, quota failures and simulated-reviewer assumptions make the evaluation particularly transparent.
    To improve
Your next evaluation should freeze the veto rules, use externally authored cases and real reviewers, and measure time and errors against Excel. Complete the 266-account AI assessment with paid quota and isolate its incremental benefit over the non-AI review ordering. Before your pilot, add reviewer audit trails and access control. Your privacy wording should distinguish local CSV processing from consented transmission of names and usernames to Gemini.
